How to View Appointments in PIPPS
A simple guide for beginners

What Does This Feature Do?
The View Appointments page is a reporting tool that lets you see all scheduled appointments for a specific host (staff member).
Think of it as a way to:
Check what appointments are scheduled for any team member
See appointments for a specific date range (today, this week, this month, etc.)
Review who has appointments and when
Plan and manage your team's schedule
This is NOT for booking appointments - this is only for VIEWING and reviewing what's already scheduled.

What You'll Need:
Active hosts (staff members) in the system
Existing appointments that have been booked

Understanding the Screen
Left Side (Sidebar):
Shows a list titled "View Appointments"
Lists ALL active hosts in your company
Sorted alphabetically by last name, then first name
Click any host's name to see their appointments
Right Side (Main Area):
Shows the host's schedule when you select them
Has a date filter at the top to choose which dates to view
Displays a table of appointments for the selected date range
Shows a prompt if no host is selected yet

Step-by-Step Instructions
Step 1: Open View Appointments
Look at the blue menu bar at the top of the screen
Find and click on "View Appointments"
The View Appointments page will open
What you'll see:
If no host is selected yet, the main area will say: "Please select a host from the list on the left to view their scheduled appointments."

Step 2: Select a Host to View
Look at the left sidebar
You'll see a list of all your active hosts (staff members)
Find the host whose appointments you want to see
Click on their name
What happens:
• The host's name will be highlighted
• The main area will load their appointment schedule
• By default, it shows appointments for TODAY only

Step 3: Choose Your Date Range
Once a host is selected, you'll see a form at the top of the main area titled "Scheduled Appointments for Host: [Host's Name]"
The form has two date fields:
Start Date
The first day you want to see appointments for
Click the date picker or type the date
Format: Month/Day/Year or use the calendar popup
End Date
The last day you want to see appointments for
Click the date picker or type the date
Must be the same day OR after the Start Date
Common Date Range Examples:
Today only: Start Date = today, End Date = today
This week: Start Date = Monday, End Date = Friday
This month: Start Date = 1st of month, End Date = last day of month
Next 7 days: Start Date = today, End Date = 7 days from today

Step 4: View the Schedule
After setting your date range, click the "View Schedule" button
The page will reload
A table will appear showing all appointments in that date range
⚠️ Important Date Rule:
The Start Date MUST be before or the same as the End Date.
If you accidentally set the Start Date AFTER the End Date, you'll see an error message and both dates will reset to today.

Step 5: Reading the Appointments Table
The table shows three columns of information:
Column
What It Shows
Date
The full date of the appointment (Example: Monday, October 16, 2025)
Time
The start time of the appointment in 24-hour format (Example: 08:00 for 8 AM, 14:00 for 2 PM)
Client Name
The name of the person scheduled for that appointment (Example: John Smith, Mary Johnson)
If no appointments are found:
You'll see the message: "No appointments scheduled for this host in the selected date range."
This is normal - it just means the host has no bookings for those dates.

Step 6: View a Different Host or Date Range
To view a different host:
Simply click a different host name in the left sidebar
Their schedule will load automatically
To view different dates for the same host:
Change the Start Date and/or End Date
Click "View Schedule" again
The table will update with the new date range

Step 7: Exit or Reset the View
Scroll to the bottom of the appointments table
Click the "Cancel" button
The main area will reset to the initial state
You'll see the prompt to select a host again
